Business Manager

The Business Manager is responsible for managing the Association’s day-to-day administrative, financial, and membership operations under the direction of the Board of Directors and through the Treasurer. Key responsibilities include processing new memberships and renewals, maintaining membership and marina records, coordinating membership materials and decals, managing newsletter advertising payments, and maintaining accurate financial records in QuickBooks Online. The Business Manager also prepares monthly financial reports, processes invoices and payments, supports annual budget preparation, and organizes financial records for the Association’s annual financial review and tax return preparation.

A significant part of the role involves administering payroll for pool and swim team employees, including processing timesheets and payments, maintaining employee records, and ensuring timely filing and payment of required federal and Virginia payroll taxes and reports. The Business Manager also supports clubhouse rental administration, including recording rental payments and security deposits, coordinating refunds, and ordering supplies. Additional duties include collecting pool dues, assisting with pool operations and maintenance coordination, managing trash removal and portable toilet services, making regular bank deposits, collecting mail, and monitoring Association email.

Business Manager Open Position October 2026

The Business Manager position is currently open, and the Board is accepting applications. The annual stipend ranges from $15,000 to $20,000, commensurate with the candidate’s qualifications and experience. The workload varies by season and averages approximately 15–20 hours per week.

GFCACA Business Manager Job Description

The ideal candidate should be highly organized, detail-oriented, and capable of managing multiple administrative and financial responsibilities while meeting deadlines and maintaining accurate records. Strong bookkeeping, payroll, recordkeeping, communication, and organizational skills are essential, along with proficiency in financial software such as QuickBooks Online and membership databases such as Wild Apricot. The Business Manager must work collaboratively with the Treasurer, Board members, committee chairs, and other Association representatives, exercising sound judgment about which requests can be handled independently and which require authorization.

Lake Pasbehegh Management

Riparian WQS monitors and treats Lake Pasbehegh to help preserve its natural beauty and recreational use.

  • Seasonal monitoring and treatment - The lake is inspected for aquatic weeds twice monthly from mid-March through mid-October. Treatments are applied as needed, with products and application methods selected according to the weeds present and best management practices.
  • Aquatic weed and algae control - The agreement covers control of most aquatic weeds, including watermeal and duckweed, as well as most algae. The goal is to keep growth at levels that support the lake’s appearance and recreational use.
  • Water quality monitoring - Basic water quality testing is performed when a significant deficiency is suspected. Periodic measurements may include dissolved oxygen, temperature, pH, dissolved solids, electrical conductivity, and water clarity, at Riparian WQS’s discretion. All test results are shared with the association.

Landscaping and Grounds Maintenance

Our landscaping contract covers the park, landscaped areas, three entrances, spillway, marina, water pump property, and canoe/picnic park at the lake. Services include:

  • Routine maintenance and weed control of the Park, landscaped areas, the three entrances, spillway, Marina, water pump propety and the canoe/picnic park at the lake.
  • Mowing and cleanup scheduled around community events, including Memorial Day and Labor Day picnics and seasonal swim meets.
  • Pruning shrubs and trees in and around the park, entrances, and marina.
  • Fall and winter leaf removal at the park and tennis courts, as needed.
  • Mulching at the entrances, around the clubhouse, in pool beds and park areas, around tree rings, and at the marina.
  • Care of the Memorial Garden and Lantana Garden, including grass cutting, weed control, leaf removal, winter lantana cutback, mulch, and pine straw.

Pool Manager 

The Pool Manager is responsible for overseeing the safe, efficient, and professional operation of the GFCACA swimming pool throughout the summer season. This includes establishing and enforcing pool safety policies, ensuring compliance with association rules and local and state regulations, conducting regular equipment and facility inspections, monitoring water quality and chemical levels, and arranging necessary repairs or replacements. The manager must maintain visible safety signage, enforce membership access requirements, and ensure the pool remains open during posted operating hours unless weather, biological contamination, or chemical imbalances require closure.

Additional responsibilities include hiring, training, scheduling, and supervising qualified lifeguards and pool attendants; coordinating pool activities, operating schedules, and equipment setup with the Pool Committee and swim team representative; and overseeing the pool’s food and beverage concession. The manager is also responsible for collecting and safeguarding pool-related funds, maintaining adequate concession supplies, purchasing approved equipment, and coordinating seasonal pool preparation and closing activities with the Pool Committee.

This is a temporary, part-time position that extends from the contract start date through the pool’s winter closing.

Newsletter Editor 

The Newsletter Editor is responsible for coordinating and preparing the monthly newsletter to keep neighbors informed, engaged, and connected to the community. This includes collecting articles, announcements, photographs, and updates from board members, committees, and residents. The editor ensures that each issue includes relevant information about meetings, community events, maintenance activities, important dates, neighborhood projects, volunteer opportunities, and committee initiatives.
